Importing Assets via CSV
This guide walks you through downloading the CSV template, mapping columns, reviewing staged rows, and committing valid records into GuideSpend.
What you can do today
- Download the CSV template from the import card on your Assets page (Assets → Import via CSV → Download template). The template includes all supported columns.
- Required fields: Vendor (company name), Amount (annual cost as a plain number — no currency symbols), and Renewal Date (YYYY-MM-DD format).
- Optional fields: Frequency (billing frequency — monthly, quarterly, or annual) and Notes (free-text). These columns are included in the template. In the column mapper, these appear as 'Billing frequency' and 'Notes'.
- Use YYYY-MM-DD format for all dates (e.g. 2026-01-15). Plain numbers for costs (e.g. 12000, not $12,000). Avoid duplicate rows within the same file.
- After upload, map any non-standard column headers to GuideSpend fields, then review the staged rows before committing.
- If some rows fail validation, the successful rows are still imported. Failed rows are shown with specific error messages so you can download them as a corrected CSV and re-import.
- Common errors: blank vendor name, invalid cost value (must be a plain number), invalid date format (must be YYYY-MM-DD), duplicate rows within the same file, and duplicate assets already in your account. Each failed row shows the specific error in the review table.
- Starter plan: up to 25 rows per import. Pro and Business plans: no row limit.
